What to Ask an Experiential Agency Before You Hire One

An Artist For Artist® perspective

Hiring an agency to produce a live event is a leap of faith. You're trusting a team you barely know with your budget, your brand, and your customers. The initial pitch always sounds good - everyone's got a cool sizzle reel and an attractive client list. But the real question isn't whether an agency can talk a good game:

It's whether they can deliver when something goes sideways.

Here are the questions that actually tell you who you're dealing with:

Industry connections matter. When a headliner canceled last minute during "Take Action x SXSW", AFA was able to secure R'n'B star Ginuwine on short notice thanks to existing relationships.

"What happens when something falls through?"

Every. single. event. runs. into. trouble. A headliner cancels, a vendor flakes, the weather turns. How crises are handled is what separates a poor production partner from a reliable one. When a headliner dropped out at Take Action x SXSW 2025, we had Ginuwine on stage within hours, because the relationships to make that call were already in place. Ask your prospective agency for a story like that. If they don't have one, they haven't been tested yet.

"Who's actually doing the work?"

A big activation involves dozens of moving parts, and your experiential agency needs to make sure all those parts move as one. For Fiji House at SXSW, we coordinated more than 30 vendors and a 40-person production team. That only works when subcontractors are vetted and the producer knows how to hold the center. Ask who's on the ground, who they've worked with before, and how many similar activations they've run. Experience isn't a nice-to-have. It's the whole job.

"What do we walk away with?"

The event lasts a few hours. The value should last a lot longer. A good agency treats content capture as core production, not an afterthought, so you leave with photos, video, and reels that keep working for months. Ask how they think about what happens after the doors close. If the answer is only about the night itself, they're thinking too small.

Content is king: Sizzle reel from our recent activation with LinkedIn

The throughline in all of this is simple: you're not just hiring someone to produce a one-off event. You're hiring someone to protect your brand and your resources. At Artist For Artist®, we produce events for brands that want a solid, tried-and-tested partner. If that's the kind of team you're looking for, reach out at artistforartist.com.
